Terms and Conditions

These terms explain the responsibilities, supplier conditions, payment rules, cancellation and refund provisions, and website-use requirements that may apply when working with My Travel Guy.

By approving a quote, authorizing a reservation, paying a fee or deposit, or confirming an itinerary, you acknowledge the applicable parts of these terms.

These Terms and Conditions govern your use of the My Travel Guy website and any travel consultation, research, planning, reservation, booking or related service provided by My Travel Guy.

By using this website, submitting a travel request, approving a quote, paying a consultation or professional fee, authorizing a reservation, paying a deposit or confirming an itinerary, you acknowledge that you have read and accepted the applicable provisions of these Terms and Conditions.

Nothing in these Terms and Conditions limits any consumer right or remedy that cannot legally be waived.

1. About My Travel Guy

My Travel Guy is operated by Peter Samuel, a Calgary-based travel advisor providing personalized travel-planning and booking assistance.

My Travel Guy assists travellers with researching, arranging and managing travel services provided by independent airlines, hotels, cruise lines, tour operators, insurers, transportation companies and other travel suppliers.

Where a booking is fulfilled through a host agency, reservation platform or other authorized travel-industry affiliation, the applicable name, registration details and supplier relationship may appear on the traveller’s quote, invoice, confirmation or payment documentation.

2. Scope of Services

Depending on the arrangements agreed upon, My Travel Guy’s services may include:

  • Travel consultations, destination research and recommendations
  • Customized itinerary planning
  • Air, hotel, cruise, tour and transfer reservations
  • Vacation packages, family travel and honeymoons
  • Group, incentive, business, faith and pilgrimage travel
  • Travel-insurance information or assistance
  • Special requests and traveller-document reminders
  • Post-booking assistance and support with supplier changes

The precise scope of work depends on the traveller’s request, available services, supplier requirements and any quote or itinerary approved by the traveller.

My Travel Guy is not required to begin research, make a reservation or provide ongoing service until the requested information, authorization and any applicable fee or deposit have been received.

3. Independent Travel Suppliers

Travel services are performed by independent suppliers, including airlines, hotels, resorts, cruise lines, tour operators, ground-transportation providers, car-rental companies, insurers, activity providers and destination-management companies.

These suppliers are separate businesses and are not owned, managed or controlled by My Travel Guy. Supplier terms form part of the traveller’s booking and may be provided through a quote, invoice, confirmation, ticket, supplier website or separate contract.

  • Payment deadlines and fare or rate rules
  • Change and cancellation penalties
  • Baggage, check-in and identification requirements
  • Health, safety and conduct requirements
  • Refund procedures and liability limitations

My Travel Guy does not control a supplier’s operations, staffing, schedules, inventory, facilities, financial condition, services or decisions. Supplier prices, schedules, routes, amenities, policies and availability may change without notice.

4. Quotes, Prices and Availability

All quotes are subject to availability and supplier confirmation. A preliminary, estimated or verbal quote is not a guaranteed price. A price is not confirmed until the supplier has accepted the reservation and any required payment or authorization has been completed.

Unless expressly stated otherwise, quoted prices may not include:

  • Baggage and seat-selection charges
  • Resort, destination or local fees
  • Taxes, tourism levies, port charges or gratuities
  • Optional excursions, meals or beverages
  • Parking, transfers or insurance
  • Visa, document or foreign-exchange costs
  • Other incidental or personally selected expenses

Prices may change because of availability, currency fluctuations, fuel surcharges, taxes, supplier adjustments or traveller-requested changes. Quotes may expire or become unavailable without notice.

Supplier descriptions and promotional offers may be subject to residency, minimum-stay, age, occupancy, loyalty or limited-inventory conditions. A promotion or advertised benefit is not guaranteed until it appears in confirmed booking documentation.

5. Planning, Consultation and Professional Fees

My Travel Guy may charge professional fees for consultations, research, planning, booking, changes, cancellations, group coordination, urgent work or other services. Any applicable fee should be disclosed before the related paid service begins.

  • Professional fees are separate from supplier deposits, fares and penalties.
  • A fee may become earned once consultation, research or administrative work begins.
  • A booking fee may apply whether a supplier reservation is refundable or non-refundable.
  • Additional work requested after approval may result in an additional fee.
  • A supplier refund does not automatically require a refund of work already performed.
Professional fees: Any applicable consultation, research, planning, booking, change, cancellation or group-coordination fee will be disclosed before the related paid service begins.

6. Traveller Approval and Booking Authorization

Before completing a reservation, the traveller may be asked to approve a quote, itinerary, fare, rate, supplier term or payment amount. Approval may be provided through email, electronic form, written confirmation, recorded payment authorization, deposit, full payment or another agreed method.

  • Names, dates, destinations and airports
  • Flight times, connection times and flight numbers
  • Accommodation, room or cabin category
  • Included and excluded services
  • Price, currency and payment deadlines
  • Change and cancellation conditions

Once a reservation is authorized, supplier restrictions and penalties may apply immediately.

7. Legal Capacity and Authority to Book

The person requesting or authorizing travel services confirms that they have the legal capacity to enter into the applicable agreement.

A person arranging travel for family members, companions, employees, group members or other travellers confirms that they are authorized to provide the required traveller information and make or request arrangements on their behalf.

  • Provide relevant terms and supplier conditions to the other travellers
  • Communicate material changes, deadlines and requirements
  • Obtain permission to supply required personal information
  • Ensure that each traveller reviews applicable documents

Unless My Travel Guy expressly agrees otherwise, a person authorizing a booking must be at least 18 years of age.

8. Deposits, Payments and Currency

Deposits and final-payment requirements are determined by the applicable supplier and any agreed My Travel Guy fee schedule.

Unless otherwise stated, each quote should identify its applicable currency. Travellers should not assume that an amount is in Canadian dollars unless the quote, invoice or confirmation says so.

  • Exchange rates and card-issuer conversion rates
  • Foreign transaction fees
  • Supplier conversion practices
  • Differences between the booking date and refund date

Where payment is processed directly by a supplier, the traveller’s card statement may display that supplier’s name rather than My Travel Guy. My Travel Guy does not control exchange rates or charges imposed by banks, processors or card issuers.

A reservation may be cancelled automatically if a deposit or final payment is not received by the deadline. This may result in lost inventory, forfeited deposits, cancellation penalties or increased replacement costs.

9. Invoices, Confirmations and Travel Documents

Travel documents may include invoices, itineraries, e-tickets, accommodation or cruise documents, vouchers, transfer instructions, insurance records, supplier terms and other booking records.

Documents may be delivered electronically by My Travel Guy, a host agency, reservation platform or supplier. The traveller must review them promptly and verify:

  • Traveller names and dates of birth where shown
  • Travel dates, airports, terminals, times and connections
  • Accommodation, room, cabin and transfer details
  • Included services, prices and payment deadlines
  • Cancellation and change conditions

Discrepancies should be reported immediately. Some errors become more difficult or expensive to correct after ticketing, supplier confirmation or expiry of a short cancellation period.

  • Monitor the email address supplied for the booking
  • Check spam or junk folders
  • Advise My Travel Guy of contact-information changes
  • Download or print documents where appropriate
  • Carry the documents required during travel

Failure to receive or open an email does not automatically cancel a supplier deadline or requirement.

10. Accuracy of Traveller Information

The traveller must provide complete and accurate information for every person included in a booking. This may include legal names, dates of birth, citizenship, passport information, contact details, loyalty numbers, emergency contacts, accessibility needs and other supplier-required information.

Names must match the traveller’s passport or other required travel document exactly. The traveller must review confirmations promptly and report errors immediately.

Correction fees, fare differences, supplier penalties or inability to travel resulting from incorrect or incomplete information may be the traveller’s responsibility. Some suppliers do not allow name changes and may treat a correction as cancellation and rebooking.

11. Passports, Visas and Entry Requirements

Each traveller is responsible for obtaining and carrying all documents required for the complete itinerary, including transit points.

  • Valid passport and required passport-validity period
  • Visas, electronic authorizations and transit visas
  • Vaccination, health and customs documentation
  • Consent letters and documents for children
  • Proof of onward travel or sufficient funds where required
  • Documents relating to permanent-resident or immigration status

Requirements vary by nationality, passport, destination, transit country, purpose and length of travel.

My Travel Guy may provide general reminders or official links but does not provide legal or immigration advice and cannot guarantee boarding, transit or entry. Airlines, border authorities and governments make their own decisions.

Possession of apparently valid documents does not guarantee boarding, transit or admission. Costs arising from missing, invalid or inadequate documentation may be the traveller’s responsibility.

12. Travel Insurance

Travel insurance is strongly recommended.

  • Emergency medical treatment and transportation
  • Trip cancellation and interruption
  • Travel delays
  • Lost, delayed or damaged baggage
  • Supplier default and other specified risks

Not every event is covered. Coverage depends on policy wording, exclusions, eligibility, limits, deductibles and pre-existing-condition provisions.

Some insurance options may become unavailable or more restricted after the initial booking, deposit or final payment. Travellers should consider insurance promptly and should not assume equivalent coverage can be purchased later.

Insurance companies independently determine eligibility, coverage and claims. My Travel Guy cannot guarantee that an insurer will approve a claim.

13. Health, Accessibility and Special Requests

Travellers are responsible for determining whether they are medically and physically able to participate in the planned travel.

  • Mobility and accessibility requirements
  • Medical equipment or service-animal requirements
  • Dietary needs and allergies
  • Pregnancy-related considerations
  • Fitness-to-travel concerns
  • Assistance needed during transportation or accommodation

My Travel Guy may communicate a special request to the supplier, but a request is not guaranteed unless the supplier confirms it.

Travellers should consult qualified healthcare professionals regarding medical, vaccination and fitness-to-travel questions. My Travel Guy does not provide medical advice.

14. Destination Conditions and Standards

Standards, infrastructure, customs and service practices outside Canada may differ from those commonly expected in Canada.

  • Accommodation classifications, room size and amenities
  • Accessibility and transportation
  • Food service, utilities and public infrastructure
  • Health, safety and customer-service practices
  • Local laws, customs and cultural expectations

A supplier’s star rating, category or description may be based on local or supplier-specific standards and may not correspond directly with a Canadian rating system.

15. Changes Requested by the Traveller

Traveller-requested changes are subject to supplier availability and rules.

  • Supplier change fees
  • Fare or rate differences
  • Loss of the original price, promotion or included benefit
  • New taxes or surcharges
  • My Travel Guy professional fees
  • Cancellation and rebooking under new terms

Some tickets, rates, promotions and packages cannot be changed. A requested change is not complete until the supplier confirms it and all required payment or authorization has been received.

16. Cancellations

Cancellation requests should be submitted in writing to Peter@MyTravelGuy.net. For urgent cancellations, the traveller should also call +1 403-216-5190.

A voicemail or unconfirmed message may not complete a cancellation. A cancellation is considered received when My Travel Guy has acknowledged it during available service hours.

If a supplier deadline is imminent, the traveller should contact the supplier directly in addition to notifying My Travel Guy. Where a cancellation deadline is stated in a supplier’s local time zone, that local time zone controls unless the supplier confirms otherwise.

  • Airline, hotel, cruise-line and tour-operator penalties
  • Package cancellation charges and non-refundable deposits
  • Insurance premiums
  • My Travel Guy professional fees
  • Fare, rate or currency differences
  • Other charges permitted by the booking terms

Penalties may increase as departure approaches and may reach the full value of the affected booking. Different components of one itinerary may have different terms.

17. Refunds

Refund eligibility is determined by:

  • Supplier terms and fare or rate type
  • Timing of cancellation
  • Services already performed
  • Applicable law and insurance coverage
  • Method of payment and agreed professional-fee terms

A service described as refundable may still be subject to deadlines, procedures or deductions. My Travel Guy cannot issue or release supplier funds that have not been returned or authorized by the supplier.

Refund timing may be affected by supplier processing, payment processors, banks, card issuers, currency conversion, investigations and the number of suppliers within the itinerary.

Nothing in these Terms and Conditions removes a refund or remedy required by applicable law.

18. Travel Credits and Vouchers

A supplier may offer a credit or voucher instead of a refund where permitted.

  • Expiry dates or booking deadlines
  • Travel-completion deadlines
  • Name, destination or transfer restrictions
  • Fare-difference requirements
  • One-time-use conditions
  • No residual value after partial use

The traveller is responsible for reviewing and using a credit according to its terms. My Travel Guy cannot guarantee an extension, transfer, cash conversion or acceptance of an expired credit.

19. No-Shows and Unused Services

Failure to check in, board, arrive or participate at the required time may be treated as a no-show.

  • Loss of the full booking value
  • Cancellation of later flight segments or remaining services
  • Additional rebooking expense
  • No refund or credit

Unused hotel nights, flights, meals, transfers, excursions, seat fees, baggage fees and other services are often non-refundable unless supplier terms or applicable law provide otherwise.

20. Supplier-Initiated Changes

A supplier may change or cancel a service for operational, safety, commercial or external reasons.

  • Flight times, numbers, routes, airports or aircraft
  • Seats, cabin or accommodation category
  • Hotels, cruise ports or tour schedules
  • Transfers, excursions or included amenities

Depending on supplier terms and applicable law, possible remedies may include rebooking, an alternative service, credit or refund. My Travel Guy may assist in reviewing options but cannot guarantee a particular remedy or response time.

21. Travel Disruptions and Events Outside My Travel Guy’s Control

Travel may be affected by events beyond My Travel Guy’s reasonable control, including:

  • Severe weather and natural disasters
  • Wildfires, floods, earthquakes or volcanic activity
  • Public-health events
  • Strikes, war, terrorism or civil unrest
  • Government action, border restrictions or airport closures
  • Mechanical problems or infrastructure failures
  • Supplier insolvency, schedule changes or other extraordinary events

My Travel Guy does not control these events or the decisions of suppliers, governments, insurers or border authorities.

My Travel Guy may be able to review the booking, explain known supplier options, submit rebooking requests, coordinate affected trip components, provide booking records and advocate with a supplier where appropriate.

My Travel Guy cannot guarantee immediate supplier assistance, replacement availability, waiver of penalties, compensation, insurance approval, border entry, refund timing or restoration of an unavailable service.

22. Traveller Conduct

Travellers must comply with applicable laws and supplier rules, including those relating to age restrictions, identification, check-in deadlines, dress, alcohol, smoking, health, safety, behaviour, excursion eligibility and local law.

A supplier may refuse service, remove a traveller or terminate a booking where its rules or applicable laws are violated. Any resulting loss, expense or replacement arrangement may be the traveller’s responsibility, subject to applicable law.

My Travel Guy may decline or discontinue service in cases involving fraud, unauthorized payment use, threats, harassment, deliberately false information, illegal activity or repeated failure to meet payment obligations.

The following provisions govern access to and use of the My Travel Guy website, online forms, scheduling links, travel resources and other website features.

23. Informational Purpose and No Booking Created

The My Travel Guy website provides general information about travel-planning services, destinations, resources and related subjects.

Website content:

  • Is provided for general informational purposes
  • Is not a confirmed quote, reservation or supplier commitment
  • May change, contain errors or become outdated
  • Is not legal, immigration, medical, tax, financial or insurance advice
  • Should be verified with official authorities and applicable suppliers

Website information does not constitute an offer capable of acceptance merely by viewing, responding to or relying upon it. Availability, pricing and included services must be confirmed for the particular traveller and itinerary.

Using the website, submitting a form, requesting information, scheduling a consultation or beginning a booking process does not by itself create a client relationship or confirmed reservation. A booking exists only after required information, authorization, supplier confirmation and payment have been completed.

24. Website Accuracy and Time-Sensitive Information

My Travel Guy takes reasonable steps to keep website information useful and current. However:

  • Content may contain errors, omissions or outdated information
  • Pricing, schedules, availability and supplier policies may change
  • Links, pages or website functions may temporarily stop working
  • Pages or features may be updated, removed or replaced
  • Technical defects may not always be corrected immediately
  • The website may be interrupted for maintenance, security or external reasons

Flight times, routes, destinations, connection information, cruise itineraries, tour schedules and other supplier details may change after being displayed or communicated.

Travellers must review current supplier confirmations and reconfirm time-sensitive details before departure. General website content does not replace a traveller’s current invoice, itinerary, ticket or supplier notice.

My Travel Guy does not guarantee that the website will operate continuously, meet every user requirement or produce a particular booking or travel outcome.

25. User Communications and Submissions

Information submitted through a contact, consultation or travel-enquiry form will be handled according to the Privacy Policy and may be used to respond to the request, evaluate service needs, prevent misuse and administer the resulting relationship.

Users should not submit passport numbers, payment-card information, medical records or other highly sensitive information through a general website form unless My Travel Guy has specifically requested it through an appropriate process.

Users are responsible for ensuring that information submitted through the website is accurate, lawful and does not violate another person’s rights.

Where a user voluntarily submits a general suggestion, idea or website comment that is not personal information, confidential business information or booking information, My Travel Guy may consider and use that feedback without an obligation to compensate the sender.

A testimonial, photograph or identifiable client story will not be publicly used merely because it was submitted. Appropriate permission should be obtained before publication.

26. Permitted and Prohibited Website Use

The website may be used for ordinary personal and non-commercial purposes related to learning about My Travel Guy and requesting travel-planning services.

You may not use the website to:

  • Submit spam, fraudulent requests or automated form submissions
  • Scrape or harvest content, prices, availability or contact information
  • Introduce malware, harmful code or unauthorized software
  • Attempt unauthorized access or interfere with website operation
  • Circumvent access controls, rate limits, human-verification tools or security measures
  • Impersonate another person or provide deliberately false information
  • Test website security without written permission
  • Frame, mirror or reproduce the website on another service without permission
  • Reverse engineer, decompile or attempt to derive protected website code except where permitted by law
  • Copy or commercially exploit the website’s interface, code, databases or protected content
  • Use the website for an unlawful, abusive or disruptive purpose

27. Suspension or Termination of Website Access

My Travel Guy may restrict, suspend or terminate access to all or part of the website where a user:

  • Violates these Terms and Conditions
  • Attempts to compromise website security
  • Submits spam, fraudulent requests or malicious content
  • Interferes with the website or another user’s access
  • Uses the website for unlawful or abusive purposes

Website features may also be suspended temporarily for maintenance, security, technical or operational reasons.

Restriction or termination of website access does not affect rights, obligations or remedies that arose before access was restricted.

28. Intellectual Property and Limited Personal Use

Unless otherwise identified, the website’s original text, branding, layouts, graphics, code, databases, itineraries, downloadable resources and other original materials belong to My Travel Guy or are used with permission.

Permission to access, download or print website material is limited, revocable, non-exclusive and intended only for personal, non-commercial travel-planning use. It does not transfer ownership or permit commercial reuse.

You may not reproduce, publish, distribute, modify, sell or commercially exploit My Travel Guy branding, photographs, code, layouts, databases, itinerary materials or other protected content without written permission.

Supplier names, logos and trademarks remain the property of their respective owners. Reference to a supplier does not transfer ownership or necessarily imply a formal partnership or endorsement.

29. Photographs, Maps and Descriptions

Photographs, videos, maps, illustrations, floor plans and supplier descriptions displayed on the website or in promotional material are provided for general reference.

They may not show:

  • The exact room, cabin, aircraft or vehicle assigned
  • Current furnishings, renovations or seasonal conditions
  • Every included or excluded feature
  • The precise view, location, scale, distance or accessibility
  • Current amenities or supplier operating conditions

Supplier-provided imagery and descriptions may change without notice. Unless a specific feature is expressly confirmed in written booking documentation, website images and general promotional material should not be treated as a guarantee that the feature will be included.

30. External Links and Third-Party Platforms

The website may link to government authorities, airlines, airports, insurers, weather services, Calendly, payment processors, transportation companies, reservation platforms and other external services.

These links are provided for convenience. My Travel Guy:

  • Does not control third-party websites or platforms
  • Does not guarantee their accuracy, availability or security
  • Is not responsible for their privacy or data-handling practices
  • Does not automatically endorse every linked organization
  • Does not control their prices, policies, terms or services

A transaction completed on a third-party website is also governed by that provider’s terms, privacy policy, payment rules and cancellation conditions. These Terms and Conditions do not replace the separate contract between the user and that provider.

31. Website Availability, Security and Harmful Code

My Travel Guy may update, suspend or discontinue any part of the website without notice.

Reasonable steps may be taken to protect the website and submitted information, but no website, server, email service, internet transmission or downloaded file can be guaranteed completely secure, uninterrupted or free from harmful code or unauthorized interference.

Technical defects may not always be corrected immediately. Users are responsible for using appropriate device security, software updates, backups and reasonable precautions when accessing online services.

Personal information is handled according to the Privacy Policy.

32. Limitation of Responsibility

My Travel Guy will provide agreed professional services with reasonable care.

To the extent permitted by applicable law, My Travel Guy is not responsible for the acts, omissions, delays, insolvency, service failures, representations or decisions of independent suppliers, government authorities, insurers or other third parties that My Travel Guy does not control.

  • Inaccurate information supplied by the traveller
  • Missing or invalid travel documents
  • Failure to meet payment or check-in deadlines
  • Traveller conduct
  • Failure to follow supplier or insurer instructions
  • Events outside My Travel Guy’s reasonable control
  • A traveller’s failure to reduce avoidable loss

This section does not exclude liability arising from My Travel Guy’s own fraud, wilful misconduct or liability that cannot legally be excluded. Nothing in these Terms limits applicable statutory consumer rights.

33. Complaints and Problem Resolution

  1. Notify the operating supplier immediately.
  2. Give the supplier an opportunity to address the issue.
  3. Contact My Travel Guy as soon as practical.
  4. Keep receipts, photographs, screenshots, emails and confirmations.
  5. Record names, dates, times and case numbers.
  6. Contact the insurer where the matter may be covered.
  7. Submit any unresolved complaint in writing.

A written complaint should include the traveller name, booking reference, description of the issue, relevant dates, steps already taken, supplier response, requested resolution and supporting documents.

My Travel Guy will review a properly documented complaint and respond within a reasonable period, considering supplier response times and the complexity of the matter.

34. Privacy

My Travel Guy collects and uses personal information for travel planning, communication, booking administration, payment, supplier coordination and related legitimate business purposes.

Travel bookings may require information to be shared with suppliers, reservation systems, insurers, payment processors and service providers, including organizations outside Canada.

35. Changes to These Terms

My Travel Guy may update these Terms and Conditions to reflect changes in services, suppliers, technology, laws or business practices.

The effective and last-updated dates appear at the beginning of this page. Terms applying to an existing confirmed booking should be determined by the version accepted for that booking, applicable supplier terms and any later written agreement.

36. Severability

If any provision is found invalid or unenforceable, it will be interpreted or limited to the minimum extent necessary, and the remaining provisions will continue in effect.

37. Entire Agreement

These Terms and Conditions, the accepted quote or itinerary, payment authorization, supplier terms and any written amendments form the agreement relating to the applicable services.

A change to a confirmed arrangement should be recorded in writing.

38. Governing Law

These Terms and Conditions are governed by the laws of Alberta and the applicable federal laws of Canada.

Any dispute will be handled by a court or other authority having lawful jurisdiction, subject to any consumer right that cannot be restricted by contract.

39. Survival

Provisions concerning payments, supplier terms, intellectual property, privacy, limitations of responsibility, dispute resolution and obligations arising before termination will continue where their nature requires them to continue.
